How to freeze and unfreeze a budget?

Only admin users can freeze or reactivate a budget.

Admin users can freeze/reactivate a Parent budget, while Admin and Budget Owners can freeze/reactivate the Sub-budgets.

How to freeze a budget

  1. On your Aspire dashboard, click "Budgets" in the left navigation bar (web app) or click "Menu" and choose "Budgets" (mobile app).

  2. Click on the budget you want to freeze

  3. Click on the next to the edit button

  4. Click "Freeze budget" and it's done

Notes:

  • When you freeze a budget, all linked cards and submitted claims will be permanently cancelled. To avoid this, unlink the cards in the Cards section and settle the claims before freezing the budget.

  • When you freeze a parent budget, all its sub-budgets will also be frozen. However, freezing a sub-budget does not freeze the parent budget.

How to unfreeze a budget

  1. On your Aspire dashboard, click "Budgets" in the left navigation bar (web app) or click "Menu" and choose "Budgets" (mobile app).

  2. Click on "Status" filter, choose "Frozen", then click "Apply"​

  3. Click on the budget you want to reactivate

  4. Click on the green "Unfreeze" button

  5. You will then be prompted to make any editable changes (if you require) in the budget. If you're unfreezing a parent budget, you can also unfreeze its sub-budget by clicking the "Yes, Unfreeze sub-budgets"

Your budget will now be ready for use again!
