How to Make Batch Payment Transfers from Aspire HKD, CNY, or USD Account

Admin, Finance with transfer rights, and Finance with submit-only rights users are able to make or submit same-currency and FX batch payment transfers from their Aspire HKD, CNY, or USD account.

How to Submit Same-Currency Batch Payment Transfer From Aspire HKD or CNY Account

  1. Under Frequently Used Actions, click "View all actions", then select "Make batch payment".


  2. Select HKD or CNY account as the source account.

  3. Click on "Mark as Payroll transaction" box for payroll tagging. This ensures that users without payroll permission cannot view individual transactions or the total transfers made. To learn more about payroll permissions, refer to this article.

  4. Select "Same currency" for the transfer type.

  5. Select a category for the batch transfer (required).

  6. Click “Add recipients”, then select your preferred method:

    1. Select existing

      1. Opens a list of saved recipients with HKD or CNY as their currency.

      2. You can multi-select recipients from this list.

      3. Their payment details (account number, bank code, etc.) will be auto-filled.

      4. Click “Add X recipients” to confirm your selection.

      5. Next, fill in the transfer amount.

    2. Add new

      1. Opens a form to input a new recipient’s payment details.

      2. Form fields are pre-filled based on your selected source account and transfer method (e.g., currency is fixed for HKD or CNY transfers).

      3. Once added, the recipient will also be saved in your recipient list for future use.

      4. Next, fill in the transfer amount.

    3. Upload CSV

      1. Upload your batch transfer details by choosing one of the following options:

        1. Upload any compatible .csv file.

      2. Next, review the matched Aspire transfer fields with your .CSV fields.

      3. Optionally, tick “Add all recipients in CSVfor future transfers” if you want to reuse them next time.

  7. Verify the transfer modes and fees, then click "Next".

Notes:

  • For recipients in Hong Kong, the system will automatically select FPS or Chats.

  • For recipients outside Hong Kong, the system will automatically select SWIFT.

8. Review your batch payment transfer details. Click "Show list" to view successful transfers.

Notes:

  • To view unsuccessful transfers, click "Show Errors".

  • To correct errors, modify the .CSV file and re-upload it. Editing transfer details directly in Aspire is not yet available.

9. If all details are correct, click "Submit transfers".

Notes:

  • When adding recipients, you can select "Select Existing" and "Add New" within the same batch transfer.

  • If you’ve already added recipients using “Select Existing” or “Add New”, you won’t be able to upload a CSV file. CSV upload must be used on its own and cannot be combined with other methods in the same batch.

  • Batch payment transfers follow the transfer approval policy that has been set in place (if any). Approvals are determined based on the total amount in the CSV file, not on each individual transfer.

How to Submit Same-Currency Batch Payment Transfer From Aspire USD Account

  1. Under Frequently Used Actions, click "View all actions", then select "Make batch payment".


  2. Select USD account as the source account.

  3. Click on "Mark as Payroll transaction" box for payroll tagging. This ensures that users without payroll permission cannot view individual transactions or the total transfers made. To learn more about payroll permissions, refer to this article.

  4. Select "Same currency" for the transfer type.

  5. Select a category for the batch transfer (required).

  6. Click “Add recipients”, then select your preferred method:

    1. Select existing

      1. Opens a list of saved recipients with USD as their currency.

      2. You can multi-select recipients from this list.

      3. Their payment details (account number, bank code, etc.) will be auto-filled.

      4. Click “Add X recipients” to confirm your selection.

      5. Next, fill in the transfer amount.

    2. Add new

      1. Opens a form to input a new recipient’s payment details.

      2. Form fields are pre-filled based on your selected source account and transfer type.

      3. Once added, the recipient will also be saved in your recipient list for future use.

      4. Next, fill in the transfer amount.

    3. Upload CSV

      1. Upload your batch transfer details by choosing one of the following options:

        1. Make a copy and fill out Aspire's USD batch payment template (See guide). If you can't access the batch payment template, download the CSV file attached at the bottom of this article.

        2. Upload any compatible .csv file.

      2. Next, review the matched Aspire transfer fields with your .CSV fields.

      3. Optionally, tick “Add all recipients in CSV for future transfers” if you want to reuse them next time.

  7. Verify the transfer modes and fees, then click "Next".

Notes:

  • For recipients in Hong Kong, the system will automatically select Chats.

  • For recipients outside Hong Kong, the system will automatically select SWIFT.

8. Review your batch payment transfer details. Click "Show list" to view successful transfers.

How to Submit FX Batch Payment Transfer From Aspire HKD, CNY, or USD account

  1. Under Frequently Used Actions, click "View all actions", then select "Make batch payment".


  2. Select HKD, CNY, or USD account as the source account.

  3. Click on "Mark as Payroll transaction" box for payroll tagging. This ensures that users without payroll permission cannot view individual transactions or the total transfers made. To learn more about payroll permissions, refer to this article.

  4. Select "FX Payment" for the transfer type.

  5. Select a category for the batch transfer (required).

  6. Click “Add recipients”, then select your preferred method:

    1. Select existing

      1. Opens a list of saved recipients with currencies supported for FX transfer.

      2. You can multi-select recipients from this list.

      3. Payment details will be auto-filled, and the currency will be pre-selected based on the recipient’s setup.

      4. Click “Add X recipients” to confirm your selection.

      5. Enter the transfer amount. The converted amount in HKD/CNY/USD will be shown below.

    2. Add new

      1. Opens a new recipient form tailored to FX transfers.

      2. You’ll be prompted to choose a currency first. This will define the required recipient details.

      3. Required fields may vary depending on the selected currency.

      4. Once added, the recipient will also be saved in your recipient list for future use.

      5. Enter the transfer amount. The converted amount in HKD/CNY/USD will be shown below.

    3. Upload CSV

      1. Upload your batch transfer details by choosing one of the following options:

        1. Make a copy of the batch payment template (Google Sheet), depending on your chosen source account. Fill out the relevant batch payment template by referring to this guide. If you can't access the batch payment template, download the CSV file attached at the bottom of this article.

        2. Upload any compatible .csv file.

      2. Next, review the matched Aspire transfer fields with your .CSV fields.

      3. Optionally, tick “Add all recipients in CSV for future transfers” if you want to reuse them next time.

  7. Choose the amount to fix in case the exchange rate changes before approval, then click “Review”.

  8. Review your payroll batch transfer:

    1. Click “Show list” to view successful transfers.

    2. Click “Show Errors” to view unsuccessful transfers.

    3. To fix errors, update your .csv file and re-upload it (editing transfer details directly in Aspire is not yet supported).

    4. If needed, delete the batch by selecting “Delete”.

  9. If all is good, click "Submit transfers".

Notes:

  • When adding employees, you can select "Select Existing" and "Add New" within the same payroll batch.

  • If you’ve already added employees using “Select Existing” or “Add New”, you won’t be able to upload a CSV file. CSV upload must be used on its own and cannot be combined with other methods in the same batch.

  • Batch payment transfers follow the transfer approval policy that has been set in place (if any). Approvals are determined based on the total amount in the CSV file, not on each individual transfer.
