Guide to Adding Budget Owners

Budget owners oversee spend on a specific budget.

What is a Budget Owner?

Budget owners manage spending in parent and sub-budgets. Admins create and assign parent budget owners. Admins and parent budget owners can then create and assign sub-budget owners.

 

Budget owners can be at any user level and are responsible for specific parent or sub-budgets. There is no limitation to the number of budget owners per budget.

 

Permitted Actions of Parent and Sub-budget Owners:

Issue cards to themselves & budget members

For Parent budget and its sub-budgets

Within their sub-budget only

Make transfers within the budget spending limit

Request to edit budget details except for budget limit or frequency, name and purpose, and source of funds (Only Admins can edit this).

For Parent budget and its sub-budgets

Approve Budget Edit Request

Approve budget edit requests from its sub-budgets

Only Admins and Parent budget owners can approve budget edit request

Approve claims associated with that budget

For Parent budget and its sub-budgets

Within their sub-budget only

Add their team or other employees

Within their sub-budget only

Create sub-budgets

Can create Level 1 to 3 sub-budgets

Can create Level 2 to/or 3 sub-budgets

Assign budget owners to Sub-budgets*

For Parent budget and its sub-budgets

For their sub-budget and lower sub-budgets

*Note:

  • If a budget owner has transfer rights, assigned sub-budget owners (employee role) will also have transfer rights.

  • If a budget owner has no transfer rights, assigned sub-budget owners (employee role) will not have transfer rights.

How to create a Budget Owner?

When creating a budget, an Admin user must assign a Budget Owner to oversee spend on that budget.

Note: Removing budget owners will cancel their cards attached to the budget. To prevent this, Admin users should remove the card from the budget before removing the budget owner.
