Guide to PO Settings and 2-Way Matching

Only Admin users can access Spend Settings and configure PO settings.

2-way matching is a control that prevents bills from being submitted if their amounts don't align with what was agreed on the purchase order. When enabled, Aspire compares bill amounts against the PO before allowing submission.

Enabling 2-Way Matching

  1. On your Aspire dashboard, go to "Settings""Spend Settings""Purchase Orders".

  2. Toggle on "2-Way Matching".

  3. Configure the sub-settings:

What It Does

Block on total mismatch

Prevents bill submission if the sum of all bills on the PO exceeds the PO sub-total

Block on line-item mismatch

Prevents bill submission if a line-item amount exceeds the corresponding line item on the PO

Tolerance (%)

Allowed variance on sub-totals before a mismatch is triggered (default: 5%)

Tax & Discount Tolerance (%)

Allowed variance on total amounts, inclusive of tax and discounts

Note: All matching logic uses sub-totals (excluding tax) unless Tax & Discount Tolerance is also configured.

When 2-way matching is enabled, and a bill breaches the limits:

  • An error is shown on the specific field that is out of tolerance (e.g., unit price highlighted in red if it exceeds a line-item limit)

  • Bill submission is blocked until the amounts are corrected or an admin adjusts the PO

Configuring PO Form Fields

  1. Go to "Settings""Spend Settings""Purchase Orders""Form Fields".

  2. Default fields can be toggled as mandatory or optional.

  3. Custom fields can be added (same types as spend request custom fields: text, dropdown, number, date, etc.).
