How to Create a Purchase Order

Admin and Finance (Transfer + Submit rights) users can create POs. This is controlled by the spend issuance permissions in your Spend Request Approval Policy.

Note: POs do not require an additional approval step after creation. They are active immediately upon submission.

Creating a PO from an Approved Spend Request (Most Common)

  1. On your Aspire dashboard, go to "Spend""Purchase Orders" and click "New Order", or go to "Spend""Requests" and find a request with status Pending Issuance.

  2. Select "Create a Purchase Order".

  3. The PO form opens with fields pre-populated from the spend request.

  4. Fill in or confirm:

    • Vendor — must be in Approved status. If not, a warning is shown and submission is blocked.

    • Line Items — item description, quantity, unit price (in PO currency). Discount and tax default to 0%.

    • Additional Information — any custom fields configured by your admin.

  5. Click "Submit". The PO is created with status Open and assigned a unique PO number.

Creating a PO with a New Spend Request (Shortcut for Finance Users)

If you have spend issuance access, you can create a PO and a spend request in one step:

  1. Click "New Order""New Request".

  2. Fill in the spend request form.

  3. Because you have approval rights, the request is auto-approved and the PO creation screen opens immediately.

Or, select an existing spend request:

  1. Click "New Order""New Request".

  2. Select a spend request already in status Pending Issuance.

  3. If you have approval rights, the request is auto-approved (for your approval stage only) and the PO creation screen opens immediately.
