How to Review and Approve a Spend Request

Reviewers are defined in your organisation's Spend Request Approval Policy. By default, Admin users are always reviewers.

Finding Requests Pending Your Review

  1. On your Aspire dashboard, go to "Spend""Requests".

  2. Click "Review Pending Requests" — this filters the list to show only requests awaiting your action.

Reviewing a Request

Click on any request to open the detail view:

  • Left panel — the full spend request document (number, date, requester, category, vendor, line items, budget, custom fields)

  • Right panel — the approval workflow showing the current step and approvers

Actions You Can Take

Approve

  • Click "Approve".

  • If you are the last required approver, the request moves to Pending Issuance.

  • If more approvers are needed, it stays in Pending Approval and the next approver is notified.

Request More Information

  • Click "Request Info" and add a comment explaining what you need.

  • The request moves to Information Required; the submitter is notified and can update and resubmit.

Reject

  • Click "Reject" and add rejection comments (mandatory).

  • The request moves to Rejected; the submitter is notified with your comments.

Issuing Spend After Approval

If you have spend issuance access (Admins and Finance Transfer roles), after approval, you will be shown three options to fulfil the request:

  • Create a card — issue an Aspire card to the requester

  • Create a Purchase Order — convert the request into a PO

  • Create / Increase a Budget — allocate or top up a budget

Rejecting an Approved Spend Request

Admin and Finance users can also reject a request that has already been approved.

  • Click "Reject" and add rejection comments (mandatory).

  • The request moves to Rejected; the submitter is notified with your comments.
