How to Approve or Reject a Vendor

By default, Admin and Finance users (all finance roles) can review and approve vendors. You can customise this through the Vendor Approval Policy in Spend Settings.

Reviewing a Pending Vendor

  1. On your Aspire dashboard, click "Spend" then "Vendors".

  2. Vendors awaiting review appear with status Pending Approval.

  3. Click on the vendor name to open the vendor detail view.

  4. Review the information across all tabs: details, payment information, contacts, and any custom fields.

Approving a Vendor

  1. Click "Approve" in the vendor detail panel.

  2. The vendor status changes to Approved and is now available for use on bills, POs, and spend requests.

  3. The person who submitted the vendor receives an in-app and email notification.

Rejecting a Vendor

  1. Click "Reject" in the vendor detail panel.

  2. You will be prompted to add a rejection comment — this is mandatory and visible to the submitter.

  3. The vendor status changes to Rejected.

  4. The submitter receives a notification with your rejection comments.

Note: If you need more information before deciding, you can reach out to the submitter directly. A formal "request more information" flow for vendors is coming in a future update.
