Admin and Finance (Transfer + Submit) users can issue a card within a PO.
For purchases where you prefer to pay by card (e.g., online subscriptions, one-time vendor payments), you can issue an Aspire card directly within the PO. The card limit is set to the PO amount, and card transactions are then matched back to bills under the same PO — giving you full visibility of committed vs. spent amounts.
Note: Only one card can be issued per PO. When the PO is fulfilled, the associated card is automatically frozen.
Steps to Issue a Card within a PO
On your Aspire dashboard, go to "Spend" → "Purchase Orders" and open the relevant PO.
Click "Issue Card" in the PO detail view.
The card creation form opens with:
Card limit pre-set to the PO amount (you can lower it, but not exceed the PO amount)
If the PO has a budget, the card is automatically associated with that budget
Complete the card issuance flow.
The card appears in the PO detail view under the "Cards" tab.
Matching Card Transactions to Bills
If card transactions happen before a bill is created:
On the card transaction, click "Link with a Bill".
Select an existing bill (associated with the same PO) or create a new bill.
Once matched, the bill is marked as Paid automatically.
If the bill is created first:
When the approved bill is ready to pay, the PO card is suggested as the default payment method.
Select the matching card transaction; the bill is marked as Paid automatically.
Note: To avoid double payments, you can enable a setting under PO Settings to block payment by transfer if a card is already issued on the PO.
