How to Modify a User Role

Upgrading a User Role

To upgrade a user role, Admin users can follow the steps below:

  1. On your Aspire dashboard, click "Users" in the left navigation bar (web app) or click "Menu" and choose "Users" (mobile app).

  2. Select the user whose role you want to upgrade.

  3. In the Access Role column, click "Edit" then "Update access role".

  4. Choose the new role based on available upgrade paths:

    1. Accountant users can be upgraded to Employee, Finance, or Admin

    2. Employee users can be upgraded to Finance or Admin

    3. Finance users can be upgraded to Admin

Understanding the Upgrade Process

The time it takes for role changes to become active depends on the level of access being granted.

For standard role upgrades, the new permissions take effect immediately after you confirm the change. This applies when you're upgrading:

  • Accountant users to Employee or Finance roles

  • Employee users to Finance roles.

For Admin role upgrades, we require additional identity verification to maintain the security of your account. This is because Admin users have full access to your organization's financial operations. When you upgrade any user to the Admin role, they'll need to complete a quick verification process by:

  1. Submit a selfie

  2. Submit proof of address (such as a utility bill, bank statement, or government-issued ID showing their current address).

Identity Verification for Upgrade to Admin Role

If you're upgraded to the Admin role, you can follow the steps below to verify your identity:

  1. Log in to the Aspire account and click "Verify identity".

  2. Take a selfie, then submit a copy of proof of personal address (e.g., invoice, bank statement, legal contract, or ID that shows your name and address).

  3. Once submitted, a confirmation banner will appear on your screen.

  4. After our team verifies your identity, you'll immediately gain full Admin access.


Downgrading a User Role

To downgrade a user role, Admin users can follow the steps below:

  1. On your Aspire dashboard, click "Users" in the left navigation bar (web app) or click "Menu" and choose "Users" (mobile app).

  2. Select the user whose role you want to downgrade,

  3. In the Access Role column, click "Edit" then "Update access role".

  4. Choose the new role based on available downgrade paths:

    1. Admin users can be downgraded to Finance or Employee

    2. Finance users can be downgraded to Employee or Accountant

    3. Employee users can be downgraded to Accountant

*Why acknowledgment is needed: When a Director Admin's role is being changed, they must log in and confirm the downgrade request on their end.

**Alternative authorization methods: Non-Director Admins cannot downgrade other Non-Director Admin users directly. To process these changes, you can either:

  • Request a Director Admin within your organization to complete the downgrade, or

  • Contact our Aspire Support team with a signed authorization letter from a company director, and we'll process it manually for you.

What if an Admin Hasn't Confirmed Their Downgrade?

Sometimes you may need to downgrade an Admin's access urgently—for instance, if they've left the company or their role has changed unexpectedly. If the affected Admin hasn't logged in to acknowledge the downgrade, you have options.

Admin user may contact our Support team through the in-app chat for immediate assistance. You'll need to provide a signed letter from a company director authorizing the role change, which allows our team to process it manually on your behalf.

If the Admin user is no longer listed as a company director, please also include an updated Certificate of Registration so we can verify the current company structure.


Modifying a Pending User's Role

Admin users can modify a pending user's role by following the steps below:

  1. On your Aspire dashboard, click "Users" in the left navigation bar (web app) or click "Menu" and choose "Users" (mobile app).

  2. Filter by Status > "Invited" to see all pending invitations.

  3. Select the pending user whose role you'd like to modify.

  4. Click "Edit" in the Access Role section

  5. Click "Update access role" and select the appropriate role for their needs.
