Use this guide if you need to review claims and submit them through the Transfer Approval Policy.
How to Review and Approve Claims
Admin users can set up a custom Claim Review Policy that allows a wide range of users to be able to review and approve claims in your Aspire Account.
If you are an approver of claims within your organisation, follow the steps below to approve a claim:
On your Aspire dashboard, click "Claims" in the left navigation bar (web app) or click "Menu" and choose "Claims" (mobile app).
Click on "Review pending claims".
You’ll see a list of claims awaiting your approval and that of other approvers (depending on your claim review policy).
Select a claim and click "Review".
Approve the claim if it passes, or reject it if it does not.
When rejecting a claim, you can provide a reason in the notes section.If Approve is selected, Admins or Finance with transfer rights users can choose:
Note: Users without payment permissions will only see the “Approve Only” option.
How to Submit Claim Payments
When your claim is approved, authorized users (Admin, Finance with transfer rights, or Finance with submit-only rights) can submit the claim payment:
On your Aspire dashboard, click "Claims" in the left navigation bar (web app) or click "Menu" and choose "Claims" (mobile app).
Select the approved claim.
Click "Pay now".
Select the source of funds and fill in the transfer amount.
Next, fill in the transfer details.
Review your claim payment and click "Submit transfer".
Once you submit the claim payment, it will be sent to the designated approvers under the Transfer Approval Policy for final review and payout.
Notes:
The process above only applies when you are processing the claims individually, not in bulk.
To process your claims in bulk, follow the step by steps here.
If you're an approver under the Transfer Approval Policy: Your claim payments will be processed immediately without additional approval, and the status will change directly to "Paid".
If your business doesn't use a transfer approval policy: Admin or Finance users with transfer rights can complete payments directly.
