Multi-entity View: Access, Management, and User Actions

Who Can Use Multi-entity View?

You'll see the Multi-entity view option if both of these are true:

  • You're an Admin or Finance user in at least one entity, and you have access to two or more entities (in any role).

  • If you only have access to one entity, or you're an Employee across all of your entities, you'll keep using your existing single-entity experience with no change.

How Do I Open Multi-entity View or Switch Back to a Single Entity?

Open the entity switcher in the top-right corner. Multi-entity view appears at the top of the list, with a count of the entities included (for example, "5 entities"). Select it to see your group dashboard. To go back, open the switcher again and choose any individual entity — single-entity views work exactly as they do today.

Understanding Your Dashboard

Why Doesn't My Total Balance Include All of My Entities?

Your balance and other financial figures — total balance, money in and out, cash flow, receivables, and payables — only include entities where you're an Admin or Finance user. Entities where you're an Employee aren't counted in these totals. Your recent transactions and search results still cover all of your entities, whatever your role.

How Do I Change the Currency Shown Across My Dashboard?

On your dashboard, click "Edit" in the total balance widget and choose your preferred currency. Your selection applies across all your aggregated views — every widget on the homepage and in Analytics. Balances held in other currencies are converted using a daily exchange rate.

Taking Actions Across Entities

Why Am I Asked to Choose an Entity Each Time I Take an Action?

When you start an action from Multi-entity view — like creating a card, making a transfer, or submitting a claim — you'll first be asked to pick which entity you want to act under. This keeps every action tied to the right entity. The list only shows entities where you have the right role for that action, and you'll be asked to choose even if only one entity qualifies. Once you select an entity, the usual flow opens and you stay in Multi-entity view.

Adding and Managing Entities

How Do I Add a New Entity?

Only Admin users can add entities. Open the entity switcher and select "Add a new entity", or go to the entity management page and click "New entity". This will take you to the existing flow of adding a new business. Any entity you add is automatically included in your Multi-entity view.

Why Is My New Entity Showing as "Unverified"?

A newly added entity has its Aspire account created but hasn't finished verification yet. Until verification is complete, the entity isn't active and can't be used for transactions. It will still appear in your entity list and your Multi-entity view in the meantime.

Managing Users

Can I Invite Someone to More Than One Entity at Once?

Yes. Only Admin users can invite users. Click "New user(s)", add the person's details, then select "Assign entity" and choose all the entities you want to give them access to. You can set a role for each entity, and use "Apply to all entities" to copy one role across them. Click "Send invite" — they'll receive a single invitation covering every entity you selected. To invite several people together, use "Invite multiple users".

Settings and Exports

Why Do Settings and Exports Show One Entity at a Time?

Settings pages (notifications, language, receipt management, and receivables) and the statements and exports page show one entity at a time. Use the entity dropdown at the top of the page to switch between entities. On settings pages, if you want the same configuration everywhere, choose "Apply to all" to apply your current settings to every entity you have access to. On the statements and exports page, switching entities resets the other filters so your export only covers the entity you chose.
