How to Tell if an Action Was Taken Through an AI Client

When someone performs an action through a connected AI client, Aspire labels it so you can tell it apart from something done by hand in the app. There is nothing to switch on.

Who can see this

All users who can view the record.

What the label looks like

The person's name appears first, followed by via [client name] in italics.

For example: John Holden via Claude

If the same action was done manually in Aspire, no label appears and you just see the person's name.

The approval or rejection entry in the approval timeline shows the name followed by via [client]

Cards

Card details show "Card Issued by [name] via [client]"

Budgets

The budget summary shows "Created by [name] via [client]". Edits and spend limit changes show the label in the activity history

Bills

Bill created, submitted, approved or rejected shows "By [name] via [client]" in the approval timeline

Cards issued against a budget

The label appears in that budget's activity history

Notes:

  • The label is for information only. It does not change the action, its effect, or anyone's permissions.

  • If a record has a mix of steps, only the steps done through an AI client are labelled. Manual steps show the name on its own.

  • Past entries keep the client name they had at the time, even if that client is later disconnected.

What does "via Claude" mean next to a name?

That action was performed through a connected AI client rather than manually in Aspire.

Does the label change what the action does?

No. It is for information only and does not affect permissions or the outcome.

Why do some steps on a record have the label and others do not?

Only steps taken through an AI client are labelled. Manual steps show the name on its own.

Will the label disappear if we disconnect that AI client?

No. Past entries keep the client name they had at the time.
