Setting up approval flows for budget transfers

Only budget owners can approve and send transfers within a budget.


The only approval flow available for bank transfers within a budget is based on the budget settings your admin or budget owner has created.

When you add a budget owner, you have the option to allow them to transfer without approval or no transfer rights.

This setup overrides the requirement for approval to go through your Admin or Finance Transfer users. If you allow a budget owner to transfer without approval, they can make any transfer.

Budget members cannot make any transfers or be set to make transfers.

If you have approval flows set up via our Transfer Approval Policy, they will not work within the budgets feature. We are working on this being part of our budget feature in 2024.

How to do a bank transfer within a budget

Only a budget owner with a "transfer without approval" can conduct a bank transfer within a budget. To facilitate a bank transfer within a budget follow the steps below:

  1. On your Aspire dashboard, click "Budgets" in the left navigation bar (web app) or click "Menu" and choose "Budgets" (mobile app).

  2. Click on the budget you need to make the transfer from

  3. Click on "Make a transfer"

  4. Select a recipient. If recipient not listed, you can add them from this section

  5. Fill out the information required and conduct the bank transfer

How to link and remove a transaction from a Budget

Admin and Finance users have the ability to link and remove transactions from a budget.

Notes: Only transactions made after the budget is created can be manually linked. Transactions made before the budget creation can't be linked.

  1. On your Aspire dashboard, click "Transactions" in the left navigation bar (web app) or click "Menu" and choose "Transactions" (mobile app).

  2. Search for the transaction you want to link and click on it

  3. A sidebar with the particulars of your transactions will appear

  4. Scroll down to the "BUDGET" section, click on the budget name, and select the desired budget from the dropdown menu.

How to view transactions from a budget

You can view transactions that are either bank transfers or card payments within that specific budget by following the steps below:

  1. On your Aspire dashboard, click "Budgets" in the left navigation bar (web app) or click "Menu" and choose "Budgets" (mobile app).

  2. Click on the budget you'd like to see the transactions from

  3. Scroll down to transactions and click on "View all"

  4. This will take you to a new screen where you can see all of the budget transactions.

Notes:

  • Click on "MORE FILTERS" on the right-hand side where you can filter your view based on transaction type and many other filters.

  • Only a budget owner, admin or finance user can view the transactions within a budget.
