How to Cancel, Freeze, or Replace your cards

You can manage your charge cards in the following ways:

  • Cancel - Permanently disable the card (cannot be reactivated)

  • Freeze - Temporarily lock the card that can be unfrozen anytime

  • Replace - Deactivate and issue a new card with different numbers but same card settings (ideal for expired or compromised cards)


How to Cancel Charge Cards

Admin and Budget Owners can follow the steps below to cancel a card:

  1. On your Aspire dashboard, click "Charge Cards" in the left navigation bar (web app) or click "Menu" and choose "Charge Cards" (mobile app).

  2. Select "Cancel".

  3. Select why you are cancelling this card and click "Yes, cancel card".

Your card is now cancelled.

Notes:

  • Admin users can cancel their own cards and the cards of other users on the account.

  • Budget Owners can cancel their own cards as well as the cards of other users within their assigned budget.

  • Finance and Employee users do not have the ability to cancel their own cards.


How to Freeze Charge Cards

Freezing a Charge Card will limit the user from making any further purchases. There is no time limitation on how long you can freeze a card. You can unfreeze just as quickly as you freeze a card.

Freeze a Card Instantly

  • Admin, Finance, and Employee users can immediately freeze their own assigned cards.

  • Admin users can freeze cards assigned to other users within the account.

  • Budget Owners can freeze cards assigned to users within their designated budget.

You can follow the steps below to freeze a card:

  1. On your Aspire dashboard, click "Charge Cards" in the left navigation bar (web app) or click "Menu" and choose "Charge Cards" (mobile app).

  2. Select the virtual or physical charge card you would like to freeze.

  3. Select "Freeze".

  4. Click "Yes, freeze".

This card is now Frozen.

Note: Repeat the steps above to unfreeze.

Set a Rule to Automatically Freeze Charge Cards

Admin users and Budget Owners* can set up automated freeze rules based on a specific transaction limit or a scheduled date.

*Budget Owners can only apply freeze rules when issuing cards to users within their assigned budget.

You can follow the steps below to set up freeze rules when issuing cards:

  1. On your Aspire dashboard, click "Charge Cards" in the left navigation bar (web app) or click "Menu" and choose "Charge Cards" (mobile app).

  2. Select the virtual or physical charge card you would like to edit.

  3. Click on "Edit".

  4. Tick the "Freeze automatically" button.

  5. Set the number of transactions, or select the date you would like this card to freeze on.

  6. Click on "Save changes" once done.

All changes you make can be edited again by clicking the edit button.


How to Replace Charge Cards

Admin users can easily replace a virtual or physical charge cards whenever needed.

This action will automatically disable the previous card but keep the same settings and budget you had previously set.

You may need to replace your card if someone else has access to your card details, your physical charge card has been lost, or if you want to update the card because it's about to expire.

Virtual Charge Cards

If your virtual charge card is about to expire, an "Expiring soon" icon will appear. We will also send you an email notification to keep you informed.

To replace an expiring or expired card, follow these steps:

  1. On your Aspire dashboard, click "Charge Cards" in the left navigation bar (web app) or click "Menu" and choose "Charge Cards" (mobile app).

  2. Select the expiring or expired card from the list.

  3. Hit the “Replace” button.

  4. For Admin and Budget owners, select the reason for replacing the card, then click “Yes, replace card”. For finance and employee users who are not budget owners, simply click “Yes, replace card” — and you’re all set!

Notes:

  • The replacement charge card will contain a new card number while preserving the existing settings (such as budget, merchant lock, currency, etc.).

  • Prior transactions from the original card will not influence the new card's spend limit.

Physical Charge Cards

If your physical charge card is about to expire, you will notice an "Expiring soon" icon displayed. We will also send you an email notification to keep you informed.

To replace an expiring or expired card, simply follow these steps:

  1. On your Aspire dashboard, click "Charge Cards" in the left navigation bar (web app) or click "Menu" and choose "Charge Cards" (mobile app).

  2. Select the expiring or expired physical charge card from the list.

  3. Hit the “Replace” button.

  4. Click “Yes, replace card”.

  5. Review and/or update the cardholder name and card name field, then click “Continue”.

  6. Select the address where you would like your card to be delivered, confirm your mobile number, then click "Continue".

  7. Hit "Place order" after reviewing your physical card request details, and you're done! Please allow up to 10 business days for delivery.

Notes:

  • There is no charge for replacing your physical card.

  • The replacement card will contain a new card number while preserving the existing settings (such as budget, merchant lock, currency, source of funds, etc.).

  • Prior transactions from the original card will not influence the new card's spend limit.
