Guide to Setting Up Books

Open "Get started". It's the first item in the Books menu, and you can also reach it from the "Get started with Books" quick action on your Home page. Get started lists your setup steps, shows your progress, and takes you straight to each task.

The setup steps

Depending on your business, you'll see some or all of these:

  1. Add your opening balance: your financial position as at the day before your accounting start date. See "Guide to entering your opening balances" under Books settings.

  2. Categorize your old invoices: only shown if you have past invoices that need to be categorised.

  3. Categorize your old bills: only shown if you have past bills that need to be categorised.

  4. Connect an external bank account: so Books can see the money moving through accounts you hold outside Aspire. See "Guide to connecting an external bank account" under Reconciliation.

  5. Reconcile your transactions: match your first bank transactions, or review a suggested match if the Reconciliation Agent has suggestions for you.

  6. View your financial report: open your Profit and Loss for the first time.

  7. Some steps might be automatically hidden if they do not apply to your business.

How steps get completed

Most steps are marked as completed automatically once you've done the task. For example, "Categorize your old bills" is completed when no past bills are missing details, and "Reconcile your transactions" is completed when you've reconciled at least one transaction. Two steps can be marked as done yourself:

  • Add your opening balance: if you are in your first financial year, you have no opening balance to add. So just click "There's nothing to add, mark as done”.

  • Connect an external bank account: click "Have no other bank accounts" if all your accounts are on Aspire.

When you finish

You'll see a "You're all set!" banner on the Get started page. Click "Amazing, hide checklist" to hide Get started and go to your Reconciliation page. Once hidden, Get started no longer appears in your Books menu or on your Home page.
