Paid a vendor with an Aspire card? You can create the bill straight from the card transaction. The bill is linked to the transaction, so it doesn't need a separate payment.
Before you start
The card transaction must be settled. Pending, refunded or reversed transactions can't be used.
Each card transaction can have only one bill. If it's already linked to a bill, you can't create another.
Who can create a bill from a card transaction: Admins, Finance users and Employees, for card transactions they can see. See Guide to Bills - with Procure Enabled.
Create a bill from a card transaction
Open the card transaction from Transactions.
Click Create bill.
Upload the bill document, or skip this step.
Fill in the bill details:
Vendor, invoice number, invoice date and due date.
Amount and currency come from the card transaction.
Budget comes from the card's budget, if it has one.
Add a purchase order, line items, reporting fields and supporting documents as you would for any bill. See How to Submit a Bill with Procure Enabled.
Click Continue, review the bill and click Submit.
There's no payment step, because the card has already paid. The bill goes through your usual review. Once it's approved, it shows as Paid, with the card transaction linked. The card transaction also shows the bill.
Create a bill from a purchase order's card transaction
If a card was issued for a purchase order, you can also start from the purchase order.
Open the purchase order and go to the Cards tab.
Find the card transaction and click Link bill.
Select an existing bill to link it, or click Add new to create a bill from the transaction.
FAQs
Why don't I see Create bill on a card transaction?

I already have the bill in Aspire. Do I need to create another?
No. Open the bill and pay it with a card instead. See How to Review and Pay a Bill.
